Position Title:            Dental Receptionist (Bilingual English/Spanish)

Salary:                        Starts at $16.00 per hour; Generous Benefits Package  

Status/Hours:            40 hours per week

Reports to:                Dental Director/Operations Manager


ABOUT THIS POSITION

Our dental receptionists are a key part of Wallace's dental team. Reception welcomes patients and ensures they have a good experience at the clinic, including maintaining reasonable wait times and seamless flow through appointments, as well as helping patients understand services, fees, and clinic policies.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

Performance expectations:

  • Reviews and prepares the daily schedule for dental staff, seeking to keep the schedule full
  • Makes appointments for patients according to the clinic’s scheduling policy; confirms appointments; follows up with patients who have broken their appointments according to the clinic’s no-show appointment policy
  • Greets patients coming into the clinic and answers the telephone
  • Registers patients in computerized scheduling, billing and dental records system (verifying, updating, and correcting name, address, phone numbers, employer, insurance status, etc.); ensuring each patient coming in for services has an accurate record and creating new records when needed
  • Confirms with insurer (via computer, telephone or POS) that the patient is covered by that insurance, verifies coverage limitations and eligibility for the services to be provided, and determines the patient’s estimated co-payment responsibility
  • Assists patients in completing dental history, consent and financial forms, if necessary
  • Triages walk-in or emergency patients in accordance with the clinic’s walk-in/emergency policy and works those meeting emergency criteria into open slots in the daily schedule; schedules future appointments as available for patients whose needs are not urgent or emergent
  • Generates and checks the encounter form for each patient at the completion of the visit to ensure it has been filled out accurately and completely
  • Completes the check-out process with the patient: collects co-pays and outstanding balances on patient accounts and schedules follow-up appointments as needed to complete the treatment plan
  • Manages all aspects of the prior approval/authorization process—submits required documentation (via mail and/or computer as appropriate); monitors and tracks status of requests
  • Processes referrals
  • Notifies supervisor or other appropriate staff of conflicts or problems
  • Inputs patient data into disease registries/tracking systems
  • Reconciles daily payments and prepares bank deposits
  • Manages inventory of office supplies; orders and restocks as necessary
  • Performs photocopying, scanning, and other administrative duties
  • Opens and distributes mail 

Wallace Team Member

  • Complies with all applicable laws and fully cooperates with the Wallace compliance program
  • Participates in Continuous Quality Improvement initiatives
  • Participates in health literacy events, volunteer retention and related activities
  • Performs other duties as assigned 

QUALIFICATIONS, SKILLS AND ABILITIES

  • Bilingual in English and Spanish required
  • Prior experience in customer service and/or reception, preferably in a medical or dental clinic setting
  • Excellent communication skills, orally and in writing
  • Excellent and sincere customer service
  • Knowledge of dental terminology, oral health services, dental insurance coverage, billing codes, and authorization processes preferred
  • Strong computer skills in a Windows-based environment
  • Experience with electronic medical records systems preferred, specifically with EPIC
  • Working knowledge of office procedures and equipment

EDUCATION/LICENSURE REQUIREMENTS

  • High School Diploma or GED
  • Current CPR certification
  • Previous administrative experience preferred

WORKING CONDITIONS AND PHYSICAL EFFORT

Work is conducted primarily in a clinic office setting. Some evening or weekend hours may be required occasionally. Due to the clinical setting, the work may involve exposure to unusual elements such as unpleasant odors and loud noises. It may also involve exposure to potentially dangerous materials and situations requiring extensive safety precautions, which may include the use of protective equipment. (Safety training will be provided).

This position requires the ability to (with or without reasonable accommodation):

  • Occasionally handle objects up to 15 pounds
